As the clock ticked away, the common room seemed to be undergoing a magical transformation. Boxes, stacked neatly at first, seemed to multiply like mischievous rabbits on a mission. The committee, undeterred by the number of boxes, exchanged determined glances – a silent pledge to navigate the imminent surge of enthusiastic students with unwavering resolve.
Well fear not, committee members! Redbird, known for their daring escapades into the heart of stash-related adventures, has recently embarked on a Stash Collection Day at Wadham College Oxford. They emerged with valuable tips and insights to make your day a smooth success.
Tip 1 - Choose a Stash-tastic Location
Depending on the number of boxes, try to select a location with ample space for students to gather within a specified timeframe. Having room to manoeuvre without feeling like sardines in a can is ideal, but if that's not a possibility, don't worry - we can still make it work.
Tip 2 - Set a Time
Set a specific time window for your Stash Collection Day. Ours ran from 2 pm to 5 pm, preventing eager beavers from showing up too early or fashionably late. A well-timed event ensures that everyone collects their orders in a civilised manner, and stampedes are avoided.
Tip 3 - Shout It from the Rooftops (or at Least the Common Room)
Communication is key! Make sure students are aware of the time, date and location by sending out a couple of announcements on your society/college communication channels. The good news is, the students will have recently received a shipping confirmation email from Redbird, encouraging them to keep an eye out on their society/college communication channels for an update from the committee - they're already primed and ready for your golden announcement. The stage is set, and your students are eagerly awaiting their cue.
Tip 4 - Follow a Process
Establish a process and assign committee members specific roles. This should only require two or three committee members, though the more the merrier. The first thing you'll want to do is to line up the boxes in numerical order, as this will make it easier to quickly and efficiently navigate to each box. Next, designate a "stash locator", seated and armed with a laptop and the digital Packing Sheet that we've sent you in your despatch confirmation email. We recommend that students form a neat queue in the direction of the "stash locator", who filters the packing sheet (open on their laptop) by the student's name or order number, allowing them to easily pinpoint the box number that contains their order.
Meanwhile, one or two "stash retrievers" embark on a mission to unearth the treasures from the relevant box. The queue keeps moving, and the process becomes a well-choreographed dance of stash retrieval.
